Levy Return

Standard and closed levies

Standard Levies

Levy Advice forms must be submitted from the Standard Levies screen monthly, on or before the 28th of each month for the previous month. You can download the Levy Advice form from the Employer Resources section of this website, or under the Levies tab once logged in to Online Services.

You can easily track the processing stage of a levy return by referring to its status bar; it indicates whether it is due or overdue, in validation, submitted, or accepted. The reporting due date is also visible for each levy return, including the number of days for which a submission is overdue, if applicable.

We also assign a number to each levy return; it can be used when communicating with us. You can contact Coal LSL with levy enquiries using the Case Messages option within each levy return. Case messages are specific to each levy return and should only be related to that return.

Closed Levies

Closed levy returns that have been accepted by Coal LSL are displayed on the Closed Levies screen.

You can find information on past levy returns, including their submission date or the levy amount paid, download copies of submitted Levy Advice forms or access previous correspondence and files from this screen.


Using the correct form

We make periodic improvements to the Levy Advice form to ensure it contains all the information we require and remains in a format our systems can read and process.

This is why Online Services users are required to download the form each month rather than using copies of previous forms submitted.

You can download the Levy Advice form from the Employer Resources section of this website, or under the levies tab once logged in to our Online Services.

Note that Online Services can only support your completed Levy Advice form in Microsoft Excel format (.xlsx).


How to complete the form

For guidance on how to complete a Levy Advice form to report on eligible wages up until 31 December 2023, visit this page.

Upload

Your uploaded file will first be inspected to ensure the correct form is being used, and that it’s been uploaded to the relevant levy return: the date and year reported on the Levy Advice form must correspond to the levy return it’s uploaded to.

If no errors are returned, your form data will be uploaded for validation.


Validation

The validation process can occur over two stages: data errors and data checks.

  1. Data errors will require you to update your form and re-upload it to be validated again. Note that you will be provided with helpful information so you can easily identify and correct these errors on your form.

  2. Data checks will require you to either update your form or provide further details directly within the platform. You will be provided with all the information you need to action either of these requirements. All data checks (rows) must be cleared before your data can be validated again. If you choose to update your form to resolve data checks, ticking the ‘I will update my Levy Advice form’ box will enable you to proceed with the re-upload of your updated form (once all rows are cleared). Providing further details directly within the platform for each row will clear the corresponding data check and enable you to proceed with validation again. You will have the option to review all cleared checks before submitting your data for further validation.

Once all validations are complete, you will be able to submit your form to Coal LSL for processing.

Payments are required monthly via direct electronic funds transfer into the Fund; account details are provided on the form.


Rejection of a levy submission

Coal LSL may reject your levy submission if it cannot be processed because of data issues, or if the additional information provided during the validation process is insufficient to process it.
